Privacy Policy

1. Who we are
This service is operated by the Coachwise team ("Coachwise", "we", "us"). If you have any questions about this policy or your data, contact us at the address in the Contact section below.
2. Data we collect
Account information
- Your name, username, and email address.
- A securely hashed password. We never store your password in plain text.
- Email verification status and basic account settings.
Health and tracking data you enter
- Bloodwork and lab results you choose to add.
- Symptoms, sleep, diet, habits, and other metrics you track.
- Protocols, targets, and notes you create.
- Photos you take or pick of meals, supplements, or test results.
This information is provided by you voluntarily and only when you choose to enter it. You are always in control of what you add.
Health data from Apple Health
- If you connect Apple Health on iPhone, we read data you allow, such as steps, heart rate, activity, sleep, and workouts, so you can see it in the app. We never write anything back to Apple Health.
Device and communication data
- A push notification token for your device, so we can send reminders and alerts you have enabled.
- Basic technical information such as log data and the features you use, so we can keep the service running and improve it.
- If you apply to join or join a waitlist, the answers and email you submit.
Marketing site analytics
On the public marketing website we use Google Analytics 4 and Google Ads through Google Tag Manager. That tells us which pages visitors open, how long they stay, where they came from, which buttons they click, and whether an ad led to an application. Google receives that usage data. This does not run on the app or the coach workspace, and it is never applied to health data. In the EEA, the UK, and Switzerland we ask first. Analytics and ads cookies stay off until you Accept all, or until you turn that category on and save your preferences. Reject, Reject all, or Save my preferences with both switches off, keeps those cookies off. Outside those countries we measure unless you opt out. You can change your choice later from the Cookies link in the footer. We store that choice with a random id, the country, and the decision so we can count consent. We do not store your IP for this.
3. How we use your data
- To provide the core service: storing your entries and generating your personal health insights, trends, and recommendations.
- To operate LLM features that help interpret your data.
- To authenticate you and keep your account secure.
- To communicate with you about your account and important updates.
- To maintain, debug, and improve the product.
We do not sell your personal data, and we do not use your health data for advertising.
4. LLM provider
Some features use a large language model (LLM) provider. Our LLM provider is OpenAI. If you accept this in the app, we send OpenAI only what that feature needs so it can generate a result. That can include Coach chat and the health context around it, photos of meals, labs, and supplements, and voice notes for transcription. We do not send this data to OpenAI unless you accept. You can turn this off later in Settings.
We do not permit OpenAI to use this data to train their models where that option is available to us.
We also rely on standard service providers for hosting, database storage, email delivery, and, on the marketing website only, Google Analytics. These providers process data on our behalf under appropriate agreements. The iOS app is distributed through the App Store. Apple's handling of your data is subject to Apple's privacy policy.
5. Data storage and security
Your data is stored in a secured PostgreSQL database with strict separation between users. Access is protected by authentication, and we apply technical and organisational measures to protect your information. No method of transmission or storage is ever completely secure, but we work to protect your data using industry standard practices.
6. Data retention and deletion
We keep your data for as long as your account is active. You can delete individual tracked entries from within the app at any time.
You can delete your whole account in the app: open the profile icon, choose Settings, then Delete account. You will be asked to enter your password. Deletion is immediate and cannot be recovered. It removes your account, your health and tracking data (including protocol entries), uploaded files, and ends any coaching relationship.
Some security and access logs that do not identify you as a person may be removed with the account or retained in a form that cannot be used to reconstruct your profile. After deletion, the same email can be used to create a new account.
7. Your rights
Depending on where you live, you may have the right to:
- Access the personal data we hold about you.
- Correct inaccurate data.
- Delete your data ("right to be forgotten").
- Export your data.
- Object to or restrict certain processing.
To exercise any of these rights, contact us at the address below, or delete your account from Settings in the app. Many actions, such as editing or deleting your entries, can also be done directly inside the app.
8. Children
Coachwise is not intended for use by children under 16, and we do not knowingly collect data from them.
9. Medical disclaimer
Coachwise is a self tracking and information tool. It does not provide medical advice, diagnosis, or treatment, and it is not a substitute for professional healthcare. Always consult a qualified health professional regarding any medical questions.
10. Changes to this policy
We may update this policy from time to time. When we make material changes, we will update the date at the top of this page and, where appropriate, notify you in the app or by email.
